Key Responsibilities

Activity 1: Administration (40%)

  • Manage the front desk and provide exceptional care to office visitors.
  • Ensure the office premises are clean and welcoming.
  • Serve as an information hub, sharing timely updates with staff.
  • Arrange travel and accommodations for office staff and visitors.
  • Coordinate meetings, events, and training sessions.
  • Maintain records and organize files, including meeting minutes and attendance sheets.

Activity 2: Office Store Management (20%)

  • Oversee the efficient management of the office store.
  • Receive and store all office items.
  • Dispatch requested store items to departmental heads or staff.
  • Ensure the office CCTV system is operational.
  • Maintain and update store books, including requisition and distribution records.

Activity 3: Human Resources Assistance (40%)

  • Assist new and departing staff with necessary forms and policies.
  • Facilitate the orientation process for new staff members.
  • Act as a liaison between office staff and the P&C department, resolving concerns promptly.
  • Compile final P4Ps (Preschool for Preschoolers) status at the office level.
  • Provide support and assistance for staff wellness.
  • Manage all contractors, including security officers and cleaners.
  • Professionally handle the recruitment process of RIWs (Refugees Incentive Workers).
  • Support existing staff in signing essential forms and documents, such as contracts and contact renewal forms.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE:

Required Professional Experience:

Minimum of 2 years of experience in HR/HRIS, preferably in a multicultural environment.

At least 2 years of experience working with international NGOs with a focus on the community.

Required Education, Training, License, Registration, and Certification:

  • University Degree in Human Resources, Public Administration, or a related field from a recognized university.

Preferred Knowledge and Qualifications:

  • Familiarity with payroll software and HRIS systems.
  • Demonstrated ability to work independently.
  • Strong analytical, planning, organizational, and problem-solving skills.
  • Ability to maintain effective working relationships with all staff levels.
  • Sound knowledge of human resources principles, practices, and Tanzanian labor laws.
  • High degree of integrity and ethics to ensure secure employee information handling.
  • Excellent communication skills and the ability to work both independently and as part of a team.
  • Proficiency in following complex oral and written instructions.
  • Working knowledge of and experience with databases and spreadsheets.
  • Ability to develop and maintain effective working relationships with all employees.

Travel and/or Work Environment Requirement:

  • Office-based with occasional field visits.

Physical Requirements:

  • Physical fitness is required.

Language Requirements:

  • Proficiency in both English and Swahili.
